UBC Workplace Safety Orientation
The Office of Respectful Environments, Equity, Diversity & Inclusion (REDI) has been established to provide leadership across the Faculty of Medicine in the areas of professionalism, learner mistreatment, equity, diversity, and inclusion, anti-racism, and anti-discrimination.
The Integrated Renewal Program (IRP) unites the Student Academic Systems Initiative (SASI) and the HR/Finance Renewal Program. It will replace UBC’s SIS (student), HRMS (HR) and FMS (finance) core systems with Workday.

Department Staff Meeting
Meetings are held on the last Thursday of each month from 8:30 am to 9:30 am in Room 2D22. There are no meetings in July and August. For further information, please contact Kimi Tanaka (DARPT Coordinator, HR Assistant Manager) at 604-875-2345 (ext.5960)
Department Operations Meetings
Department Operations Meetings are held every second month on the 4th Wednesday (January, March, May, September, November) from 4:30 p.m. to 6:00 p.m. in Room 2D22 at the BC Children’s Hospital. There are no meetings in July and August.

The Department of Pediatrics follows the UBC format with regard to the required documents. CV’s and Teaching Dossiers are stored in separate databases and updated upon request of the faculty member or administrative assistant.
To update your CV, please contact Kimi Tanaka for your most recent version, track the changes and return the tracked document for updating the database. Cathy will then provide you with a Word and PDF version of the updated CV.
To track your changes electronically, open your Word document and in your Tools menu on the top, click on “Track Changes”. Additions will appear in another color on your CV and deletions will move to a bubble on the right hand side.

To update your Teaching Dossier, please contact Kimi. She will send your most recent version (only PDF format available) and a Word template to enter the additions on. Return the template to Kimi for updating the database and she will then send you a final PDF version.

Please collect and retain the following for volunteers:
1. Completed and signed UBC Volunteer Guidelines document including:
- Completed and signed Appendix A – Assignment Plan. When an assignment plan expires, a new assignment plan must be completed.
- Completed and signed Appendix B – Volunteer Application Form
- Completed and signed Appendix C – Confidentiality Agreement
2. Parents/guardians of those under the age of 19 must sign the forms. UBC volunteer guidelines allow volunteers over the age of 13, while the C&W policy requires volunteers to be a minimum age of 16 with full parental consent.

- Supervisors of volunteers are responsible for directed activities and identifying hazards, controlling risks and communicating safety related information to their volunteers.
- Volunteers who do not have a UBC Campus Wide Login (CWL) can complete mandatory training through the non-UBC employee section of workplace learning https://courses.cpe.ubc.ca/browse/wpl/srs-external. They will be required to create a canvas account in order to access training and print certificates of completion for collection by the supervisor.
5. UBC Volunteer Insurance
- UBC supervisors and volunteers should review UBC’s Health & Safety site to Understand your safety role at UBC - Safety & Risk Services
- Accident insurance coverage is available (and ‘currently’ free of charge) for volunteers who will be under the supervision and direction of a UBC employee doing the work of UBC. To register for this coverage, follow the instructions located at UBC’s Accident Insurance - Safety & Risk Services ensuring that the Accident registration form (step 5) is completed and submitted along with a copy of the UBC Volunteer Guidelines. Please include your UBC email/contact information to support the claim process in the unlikely event of a reportable incident. Complete information is required to by the adjusters and to demonstrate that the volunteer work is for UBC. Should you have any questions regarding the safety, as part of the volunteer orientation process, please contact paul.nakagawa@ubc.ca, Manager, Safety Programs Management & Systems.
6. Store the completed forms securely. Copies should be made available if requested.
Criminal Record Check for Volunteers
Volunteers must go to their local police or RCMP station and have a clearance completed for standard + vulnerable sector.

For Volunteers the service is free as noted on the VPD site. The unit will be responsible for retaining the clearance letters or can forward to us for record keeping.
Note:
Volunteers are not entitled to any compensation or benefits for their services as they should not be performing staff work. If managers would like to reimburse volunteers for transportation, meals or other out-of-pocket expenses incurred when performing volunteer services, please contact Pediatrics finance for how to issue reimbursement to volunteers.
